Who We Are
At Spatialedge, we deliver cutting-edge technical solutions. We foster a highly collaborative, intellectually curious environment where innovation thrives, and team members are empowered to develop best-in-class systems.
About the Role
We are looking for a highly organized and detail-oriented Client Billing Administrator to manage intercompany invoicing, Statement of Work (SOW) administration, and revenue reconciliation across our group's trading entities (including SA, UK, and US operations).
In our business, invoicing is revenue, and revenue drives cash flow, making this role a top priority for our continued growth. You will play a critical part in ensuring that all revenue is traceable, audit-ready, and maintained in real-time within Xero. By owning this process, you will protect our business from compliance risks, ensure a seamless billing experience for our clients, and provide our Finance team with the reliable data they need for forecasting.
Key Responsibilities
Multi-Entity Invoicing & Onboarding: Prepare and issue accurate invoices across multiple global entities, ensuring the correct entity, currency, tax treatments, and jurisdictional formatting are applied. Handle the onboarding of new clients and necessary vendor registrations.
Contract & SOW Administration: Maintain a centralized, auditable register for all client documents. Proactively flag contract amendments or renewals, and ensure invoiced amounts strictly match SOW billing schedules and milestone triggers.
Revenue Reconciliation & Traceability: Maintain full, real-time traceability of revenue from SOW to invoice to payment to Xero. Continuously reconcile invoiced and recognized revenue, investigate variances (such as timing differences or deferred revenue), and calculate accruals.
Payment Tracking & Client Statements: Confirm receipt of payments against invoices, maintain up-to-date payment status records, send out regular client account statements, and gracefully follow up on or escalate overdue accounts.
Client-Specific Workflow Management: Understand, document, and consistently apply each client’s unique invoicing requirements (e.g., PO numbers, billing portals, approval chains) to ensure invoices are processed and accepted without delay.
Requirements
Education: High school diploma (Matric / Grade 12) is required; a certificate or diploma in Bookkeeping, Accounting, Business Administration, or a similar field is a strong advantage.
Experience: 1–2 years of experience in an administrative, invoicing, bookkeeping, or accounts support role. (Training will be provided on multi-entity workflows and internal SOW processes).
Technical Skills: Working knowledge of Xero or similar accounting software (a strong willingness to learn is required), coupled with solid Excel/Google Sheets skills for basic reconciliation and formula work.
Attention to Detail & Organization: Highly analytical, comfortable working with structured numbers, and able to manage recurring tasks and tight deadlines without close supervision.
Communication & Professionalism: Excellent communication skills with the ability to confidently correspond with clients on statement queries. Must be highly trustworthy, discreet, and capable of handling sensitive financial information.
